Accessibility Statement

Last updated: 5 August 2026

1. About this statement

This accessibility statement applies to https://www.songsaloud.com.

Songs Aloud is a service supplied by Business Software Group Limited, a company registered in England and Wales under company number 02926171.

We want as many people as possible to be able to use the Songs Aloud website and services, regardless of disability, technology, environment or method of access.

For accessibility support, contact support@songsaloud.com.

This statement explains:

  • Our accessibility aims;
  • The standards we are working towards;
  • How the website should support different access needs;
  • Areas that may not yet be fully accessible;
  • How to request information in another format; and
  • How to report an accessibility problem.

2. Our accessibility commitment

Songs Aloud aims to make its website and online services accessible in accordance with the Web Content Accessibility Guidelines version 2.2, Level AA.

We are working towards making it possible for users to:

  • Navigate the website using a keyboard;
  • Use the website with a screen reader;
  • Use speech-recognition software;
  • Zoom and enlarge content without losing important information;
  • Change browser or device display settings;
  • Understand content written in clear language;
  • Complete forms with clearly associated labels;
  • Identify and correct form errors;
  • Pause and control audio and video;
  • Access lyrics or other text alternatives for song content;
  • Use the website without relying only on colour;
  • Use the website on mobile phones, tablets and desktop computers; and
  • Request reasonable alternatives where an online feature creates a barrier.

3. Compliance status

We aim to meet WCAG 2.2 Level AA across the website, the order questionnaire, the audio players and the checkout.

If anything here gets in your way, tell us and we will put it right.

Accessibility is reviewed whenever the website, customer portal, order questionnaire, audio players or payment processes change.

As testing continues we will record here:

  • The level of compliance achieved;
  • Any known failures;
  • The pages or features affected;
  • Planned corrections; and
  • Relevant timescales.

4. How the website is intended to work

We are designing the website so that users should be able to:

Change the display

You should be able to use browser or device controls to enlarge text, zoom into pages, change colours or contrast, use high-contrast settings, adjust font settings, and use dark or light display preferences where supported.

The website should remain usable without requiring a particular screen size or orientation.

Navigate using a keyboard

The principal website functions should be accessible without a mouse. This includes:

  • Navigating menus;
  • Following links;
  • Using buttons;
  • Operating forms;
  • Opening and closing dialogs;
  • Using audio controls;
  • Moving between questionnaire steps; and
  • Accessing customer-account functions.

Keyboard focus should be visible and should move in a logical order.

Use assistive technologies

We aim to support current versions of commonly used assistive technologies, including screen readers, screen magnification, voice-control software, alternative keyboards, switch devices and browser accessibility tools.

Page structure, headings, landmarks, links, form labels and status messages should be available to assistive technologies.

Understand the content

We aim to use plain English, descriptive headings, reasonably short sentences, explanations of specialist musical or legal terms, clear button and link text, errors that are easy to understand, and to avoid relying on visual presentation alone.

5. Audio and music accessibility

Audio is central to Songs Aloud, but important information should not be available only through sound.

Where reasonably possible, public song examples will include one or more of:

  • Written lyrics;
  • A transcript;
  • A summary of the song’s subject;
  • A description of the musical mood;
  • Captions for spoken video content; and
  • A text description of relevant recipient reactions.

Audio players should provide accessible controls for play, pause, seeking through the recording, volume and current playback status.

Audio should not begin automatically.

Where a customer cannot use an audio preview in its normal form, we will consider reasonable alternatives appropriate to the commission.

6. Video accessibility

Where Songs Aloud publishes video, we aim to provide:

  • Captions for speech;
  • Captions or text for important non-speech sound where relevant;
  • A transcript or written summary;
  • Controls to pause and resume playback;
  • No unexpected automatic playback; and
  • Reduced reliance on flashing, rapid movement or visually disruptive effects.

Audio description may not be available for every promotional or customer-supplied video. Where important visual information is not otherwise available, contact us to request an alternative description.

7. Forms and the Start Your Song questionnaire

We aim to make forms and questionnaires accessible by providing:

  • Visible labels;
  • Clear instructions;
  • Logical grouping of related questions;
  • Keyboard operation;
  • Appropriate autocomplete attributes;
  • Clear required-field indicators;
  • Error identification;
  • Suggestions for correcting errors;
  • A visible progress indicator;
  • The ability to save and resume longer forms where available;
  • Sufficient time to complete each step; and
  • Confirmation before important information is submitted.

We recognise that a detailed creative questionnaire may be difficult for some users. Where appropriate, we may offer reasonable alternatives such as:

  • Receiving answers by email;
  • Accepting a voice recording;
  • Conducting an arranged interview;
  • Allowing another person to assist;
  • Providing questions in a simpler format; or
  • Dividing the brief into shorter stages.

To request an alternative way to provide your brief, contact support@songsaloud.com.

8. File uploads

The website may permit customers to upload photographs, documents, audio and video. We aim to ensure that:

  • Upload controls have clear labels;
  • Supported formats and file-size limits are explained;
  • Upload progress and completion are communicated;
  • Upload errors are described clearly; and
  • Files can be submitted by another agreed method where the normal uploader creates an accessibility barrier.

Contact support if you cannot use the upload system.

9. Customer portal and private previews

The customer portal is intended to support reviewing order information, uploading files, reading messages, playing private previews, providing feedback, approving a song, downloading final files, and viewing invoices and usage rights.

These functions will be included in accessibility testing before or during their release.

Where a portal function is not accessible to you, contact us and we will consider an appropriate alternative method.

10. Third-party services

Some parts of the customer journey may be supplied by third parties, including payment processing, audio or video players, appointment booking, customer communications, file delivery, authentication and embedded content.

We aim to select providers with suitable accessibility support, but we do not control every aspect of a third-party interface.

Please report any third-party feature that prevents you from using Songs Aloud. We will investigate the problem and, where reasonably possible:

  • Provide another route;
  • Help complete the affected step;
  • Raise the issue with the provider;
  • Replace the feature; or
  • Supply the information in another form.

11. Documents and downloads

Songs Aloud may provide downloadable material such as lyrics, invoices, quotations, licences, order summaries and legal documents.

We aim to use accessible HTML where practical.

Where a PDF, Word document, image or other download is not accessible, you can request the information in another format. Possible alternatives may include:

  • Accessible HTML;
  • Plain text;
  • Accessible Word format;
  • Large print;
  • A structured email;
  • An audio explanation; or
  • Another reasonable format.

12. Known and potential accessibility limitations

These are the areas we review most closely, because they are where accessibility problems most often arise:

  • Audio-player keyboard and screen-reader operation;
  • Text alternatives for every song example;
  • Colour contrast in all visual components;
  • Focus visibility;
  • Mobile navigation;
  • Validation and error announcements in long forms;
  • Drag-and-drop file-upload functions;
  • Customer-portal dialogs and status updates;
  • Embedded payment interfaces;
  • Embedded audio and video;
  • Automatically generated documents;
  • Captions and transcripts for older or customer-supplied media; and
  • Accessibility at high zoom levels.

This list is updated as we test and as the website changes.

13. Requesting information in another format

Contact us if you need website information, legal content, a questionnaire or customer material in another format. Email support@songsaloud.com.

Please tell us:

  • The page, document or feature concerned;
  • The format or adjustment you require;
  • Your preferred way for us to respond;
  • Any relevant deadline; and
  • Your order number, where applicable.

You do not need to disclose a medical diagnosis.

We aim to acknowledge accessibility requests promptly and normally within five working days.

The time needed to provide an alternative will depend on the material and requested format. We will explain any material delay.

14. Reasonable adjustments to the service

We recognise that treating everyone identically does not always provide equal access.

Depending on the circumstances, reasonable adjustments may include:

  • Providing information in another format;
  • Allowing extra time;
  • Changing the method of communication;
  • Accepting a brief through an interview;
  • Permitting assistance from a nominated person;
  • Dividing a process into smaller stages;
  • Providing additional explanation;
  • Avoiding a particular communication channel;
  • Supplying an alternative to an inaccessible digital feature; or
  • Making another practical change to remove a substantial barrier.

Adjustments will be considered individually, taking account of the user’s needs and the nature of the Songs Aloud service.

15. Reporting an accessibility problem

We welcome reports about accessibility barriers. Contact support@songsaloud.com.

Please include, where possible:

  • The page address;
  • The feature or content concerned;
  • What you were trying to do;
  • What happened;
  • The device and browser used;
  • Any assistive technology used;
  • A screenshot, where helpful; and
  • The adjustment or outcome you would prefer.

You do not need to understand WCAG or identify a technical rule. A simple description of the problem is sufficient.

We will acknowledge the report, investigate the issue, explain what action we can take, provide an alternative where reasonably possible, and use the report to improve the service.

16. Complaints

If you are dissatisfied with our response to an accessibility request or report, send a complaint to support@songsaloud.com using the subject line “Accessibility complaint”.

Please include:

  • Your name;
  • Your original request or report;
  • Our response;
  • Why the response did not resolve the issue; and
  • The outcome you are seeking.

The complaint will be reviewed separately from the original response where reasonably possible.

You may also seek independent advice from the Equality Advisory and Support Service or pursue any rights available under applicable equality law.

17. Technical approach

Songs Aloud intends to use WCAG 2.2 Level AA as its principal technical accessibility standard.

Our development and review process should include a combination of:

  • Automated accessibility testing;
  • Keyboard-only testing;
  • Screen-reader testing;
  • Colour-contrast testing;
  • Browser zoom and text-resizing tests;
  • Mobile and responsive-layout testing;
  • Form and validation testing;
  • Testing without sound;
  • Testing with reduced motion;
  • Manual review of headings, labels and alternatives; and
  • Testing by disabled users where practical.

Automated testing alone is not sufficient to determine whether the website is accessible.

18. Preparation and review of this statement

This statement was prepared on 5 August 2026.

Accessibility checks are part of how the website is built and released. This statement is reviewed whenever:

  • A significant new customer feature is released;
  • A material accessibility problem is identified;
  • A major redesign takes place;
  • The applicable accessibility standard changes; or
  • At least 12 months have passed since the previous review.
